Hosting Group Events: 3 Tips for Getting the Food Right

Whether you’re hosting a police association meeting or it’s your turn with your book club, throwing a group event is always a blast, but getting the food just right can be tricky. Whether it’s a casual hangout or a more formal affair, you want to make sure your guests are happy and well-fed. 

Here are three key tips to nail the food at your next gathering.

Offer Variety and Consider Dietary Needs

It’s super important to have a variety of food options to accommodate everyone’s tastes and dietary restrictions. You never know who might be vegan, gluten-free, or have food allergies, so it’s best to cover all your bases.

So:

  • Include a good mix of meat, vegetarian, vegan, and gluten-free dishes. Think about offering a pasta bar with both a meat sauce and a vegan marinara, or a mix of regular and gluten-free bread for sandwiches.
  • Clearly label all the dishes with what’s in them. Use little cards or stickers to indicate if something is vegan, gluten-free, or contains common allergens like nuts or dairy.
  • If you can, ask your guests about their dietary needs ahead of time. You could add a note on your invitation asking about any food restrictions. This way, you’ll know exactly what to prepare for most if not all of your guests 

Go for Finger Foods and Easy-to-Eat Options

Especially if your event involves a lot of mingling, go for foods that are easy to eat on the go. Finger foods and small bites are perfect because they’re convenient.

So:

  • Think sliders, mini sandwiches, skewers, and stuffed mushrooms. These are all easy to eat without needing a full place setting.
  • Instead of one big buffet table, set up multiple food stations around the space. This encourages guests to move around and socialize while they grab food. You could have a station for cheeses and charcuterie, another for dips and chips, and a dessert table.
  • Make sure there are lots of napkins and small plates available so that people can easily grab a few things and continue mingling. Use sturdy, disposable options to make cleanup a breeze.

Plan the Right Amount of Food

You don’t want to run out of food, but you also don’t want to end up with way too much. Finding the right balance can be tricky, but a little planning goes a long way.

Generally:

  • For appetizers, plan on about 6-8 pieces per person for the first hour and 4-6 pieces per person for each additional hour. If you’re serving a main course, consider how hungry your guests will be based on the time of day.
  • Have a backup plan with extra food that can be brought out if needed. Simple options like extra salads, bread, or pre-made appetizers that you can easily pop out can save the day.
  • Think about what you’ll do with any leftovers. Have containers handy for guests to take food home or plan to donate leftovers to a local shelter. This helps reduce waste and is a nice touch.
